Yellow Lemon Party Hire – Terms & Conditions
We’re so excited to be part of your event! To ensure everything runs smoothly, please read these Terms & Conditions carefully. By paying a deposit or confirming a booking, you acknowledge that you have read, understood, and agree to these terms.

1. Bookings & Payments
​
1.1 A non-refundable deposit is required to secure your booking. The amount will be stated on your invoice.
1.2 A refundable bond is payable on all hires. This will be refunded within 7 business days after the hire period, provided all items are returned on time, clean, and undamaged.
1.3 Bookings are only confirmed once the deposit has been paid in full. All bookings must be acknowledged in writing (via invoice, email, or other written communication) to be considered valid. A booking is not confirmed until both the deposit is received and written confirmation has been provided by Yellow Lemon Party Hire.
1.4 Deposit Notification
After making a deposit payment, the Hirer must notify Yellow Lemon Party Hire by email yellowlemonpartyhire@gmail.com with confirmation of the payment, including the amount, date, and booking reference.
Failure to notify Yellow Lemon Party Hire of a deposit payment may result in delayed confirmation or unacknowledged booking, and Yellow Lemon Party Hire accepts no responsibility for missed or delayed bookings in such cases.
1.5 Full payment must be received at least 7–10 days prior to the event date. Late payments may result in cancellation. Late payments not received within 72 hours prior to their event may result in automatic cancellation and loss of deposit.
1.6 Payment is accepted via the link on your invoice or by bank transfer only.
1.7 Bookings may be made via the website, email, SMS, social media, or any other communication method.
2. Cancellations & Amendments

2.1 Deposits
• Deposits are non-refundable under any circumstances.
​
2.2 Cancellation Policy
• Cancellations made more than 14 days before the booking date: deposit forfeited, all other payments refunded.
• Cancellations made within 14 days of the booking date: full booking fee forfeited.
• All cancellations must be submitted in writing and acknowledged by Yellow Lemon Party Hire.

2.3 Amendments & Reschedules
• All amendment or reschedule requests must be made in writing and are subject to availability.
• Changes requested within 7 days of the booking date cannot be guaranteed and will be reviewed on a case-by-case basis.

2.4 DIY Booking Reschedules

For DIY bookings, standard reschedule fees within 10 days of the original booking are:

Bookings up to $100: $25

Bookings up to $200: $50

Bookings up to $300: $75

Bookings up to $400: $100

Bookings up to $500: $125
-
Bookings over $500: $150

2.5 Full Setup Reschedules

Standard reschedule fees within 14 days of the booking date:

Bookings up to $500: $100

Bookings over $500: $150

Reschedules made within 72 hours of the booking start time will incur 50% of the total booking value.

For clients who have already rescheduled a booking two or more, any additional reschedule will incur a $250 fee. If this occurs within 5 days of the booking, 50% of the booking value applies.

If full setup is unavailable due to high demand or repeated reschedules, a DIY option may be offered, and no refund will be provided.

After two or more reschedules, Yellow Lemon Party Hire may only offer a DIY option for subsequent bookings.

Notes:

In all cases, the highest applicable fee will take precedence.

These policies are designed to cover preparation time, administrative costs, and loss of income from holding your booking.

It is the Hirer’s responsibility to have a backup plan (Plan B) for adverse weather. The full hire fee applies even if weather impacts usability.

3. Bonds & Damages
3.1 A bond is required for all bookings.
3.2 The bond will be refunded within 7 business days if items are:
• Returned on time
• Clean and dry
• In the same condition as received
3.3 The Hirer is responsible for any damage, loss, or theft during the hire period. Costs exceeding the bond amount will be invoiced to the Hirer.
4. Collection, Delivery & Storage
4.1 DIY Collection & Return
• DIY hires must be collected from Hillary’s, Perth, WA, unless delivery is arranged.
• Collections are generally available on Friday and Saturday, with returns on Saturday, Sunday, or Monday at designated times. During fully booked weekends, pickup may be limited to Friday with returns on Monday.
• All DIY hires must be collected and returned within the windows outlined in Section 4.1. Please ensure your event timing allows for safe pickup and return of all items. Handover and pack-down procedures described in Section 8 do not apply to DIY hires; the Hirer is responsible for setup, pack-down, and timely return.
• Pickup times are confirmed on the Tuesday prior to your event, once all bookings, deliveries, and setup schedules are finalised.
• Collection and return times may be adjusted at the Owner’s discretion to accommodate other hires or unforeseen circumstances.
• Failure to pick up or return within these windows may forfeit booking or bond
• Equipment must be returned clean, dry, and in original condition; additional cleaning fees may apply.
• The Hirer must ensure secure storage of all hired items at all times. Items must not be left outdoors overnight, in wet areas, or in hot vehicles.
• On collection, the Hirer must provide photo identification (driver’s licence, proof of age card, or passport).
• It is the Hirer’s sole responsibility to load and unload items to and from their vehicle.
• Items must not be left unattended at any time.
• The Hirer may only attend the property during agreed collection/return times confirmed in writing.
4.2 Delivery & Collection by Owner
• Delivery and/or collection is available for an additional fee and must be pre-booked.
• Access to the delivery site must be clear and accessible for setup and pack-down. Any stairs, long distances, or obstacles must be disclosed at time of booking.
• The Hirer (or an appointed representative) must be present to receive the delivery. No equipment will be left unattended.
• If delivery cannot be completed on the first attempt, all additional delivery costs will be charged to the Hirer.
4.3 Transport & Storage
• The Hirer is responsible for ensuring there is adequate space and protection for safe transport of hired equipment.
• Fragile items (e.g. balloons, cardboard or painted prop standees) must not be transported in open-air vehicles or trailers. In wet weather, all items must remain dry and transported in fully enclosed vehicles.
• If items do not fit into the Hirer’s transport upon collection, no refund will be provided. Alternate arrangements may be offered at the Owner’s discretion.
5. Weather & Force Majeure
5.1 The Hirer is responsible for having a suitable wet-weather backup plan for all outdoor events.
5.2 No refunds or credits will be provided for cancellations or reduced usability due to weather conditions.
5.3 Force Majeure: In the event of natural disasters or government restrictions, the Owner may, at their discretion, allow the deposit to be transferred to a future booking or partially refunded. This decision will be made on a case-by-case basis.
6. Use & Supervision of Equipment
6.1 Safe Use & Supervision
The Hirer is responsible for the safe use, care, and supervision of all hired equipment. Equipment must be suitable for the user’s age, size, and abilities.

6.2 Intended Use Only
Equipment must only be used for its intended purpose and in accordance with the Owner’s guidance.
6.3 Age Restrictions & Supervision
• Equipment and toys are not suitable for children under 3 years old.
• Children aged 3 years and above may use equipment only if appropriate for their age and abilities, and must remain under constant adult supervision at all times.
6.4 Alterations & Sub-Hiring
Hired equipment must not be altered, modified, repaired, or sub-hired to any third party without written consent from the Owner.
6.5 Storage & Exposure
Equipment must be kept in a safe, secure, and dry location at all times. Items must not be left outdoors overnight, in unsecured areas, in wet conditions, or inside vehicles exposed to excessive heat.
6.6 Pets & Animals
No pets or animals are permitted on or near any hired equipment.
6.7 Weather & Environmental Conditions
• Equipment must not be used in wet or rainy conditions or placed in areas that may cause damage.
• Items used in strong winds must be properly secured to prevent tipping or damage.
• Character prop standees are hand-painted and irreplaceable. They must not be wiped with water, placed near sprinklers, or used outdoors in wet or damp weather.

6.8 Adverse Weather Plan
The Hirer must have a plan for adverse weather for outdoor events. The full hire fee applies even if weather affects the use or enjoyment of the equipment.

6.9 Painting, Art & Marking
No painting, colouring, drawing, or decorating is permitted on any hired equipment, including tables, without prior written approval. This includes the use of paints, dyes, fabric pens, markers, or any material that may stain or cause damage.
• If written permission is granted, the Hirer must provide adequate protection (e.g. drop cloths or covers) to prevent any staining or damage.

6.10 Special Locations
Equipment may not be used on beaches, wet sand, or other sensitive locations without prior written approval from the Owner.
7. Condition & Cleaning of Equipment
7.1 Return Condition
All items must be returned clean, dry, and in their original condition. Items must be free from food, drink, wax, paint, tape, glue, adhesives, decorations, and any other foreign materials.
7.2 Cleaning Fees
A cleaning fee of $50 per hour (minimum 1 hour) applies if items are returned in an unacceptable condition. The Owner reserves the right to retain part or all of the bond to cover cleaning fees.

7.3 Party Hire Equipment – Cleaning Requirements

Blackboards must be free of all writing and dust.

Reusable plates, cake stands, partyware, mini tables, donut boards, acrylic risers, and all other decorations must be washed or wiped clean and dried thoroughly.

Soft toys must be wiped down and sanitised.
-
Backdrops must have all adhesive residue removed (if no stand was used).
-
Tablecloths must be cold-washed and line-dried only (do not tumble dry).
7.4 Boho Picnic Equipment – Cleaning Requirements

Verona glassware, plates, and kids’ reusable partyware are dishwasher safe.
-
Acrylic glassware must be hand-washed gently (not dishwasher safe).
-
Rugs must be shaken out, vacuumed if required, and washed at 40°C if marked; line-dry only.

Tables should be wiped with a damp cloth; pillows sprayed with disinfectant and cleaned of any marks.
-
Napkins must be washed in a cold delicate cycle (or handwashed) and line-dried.
7.5 Additional Cleaning Fees
A minimum cleaning fee of $50 per hour applies if excessive cleaning is required. Yellow Lemon Party Hire reserves the right to retain part or all of the bond to cover these costs.
7.6 Damage During Cleaning
If damage occurs during cleaning by the Hirer, the Hirer is liable for repair or replacement costs.
7.7 Replacement & Damage Costs
If the bond amount does not cover replacement or damage, an additional invoice will be issued to recover the remaining costs.
7.8 Cleaning Guidance
If uncertain about proper cleaning methods, the Hirer must contact the Owner for instructions before cleaning to avoid accidental damage.
7.9 Paint, Art & Staining Damage
Any damage caused by the use of paints, dyes, fabric markers, pens, or similar materials—including stains or discolouration to tables, tablecloths, rugs, pillows, décor, or any hire items—will result in full replacement at the Hirer’s expense, regardless of intent.
8. Special Terms by Item
Full Setup & Pack-down of Boho Picnics
• It is the Hirer’s responsibility to confirm with the relevant local council or venue whether permits, bookings, or approvals are required for the use of public spaces or for engaging a commercial vendor such as Yellow Lemon Party Hire (or any third-party business). All necessary permissions must be obtained prior to the event.
• Please ensure you understand any venue restrictions (e.g. use of teepee tents, umbrellas, glass, or fresh/faux florals).
• When selecting your venue, consider parking, accessibility for delivery and collection, and site safety.
• When reserving a venue (indoor or outdoor), ensure sufficient time is booked for both setup and pack-down:
o Groups under 18 guests: 1 hour setup / 1 hour pack-down
o Groups over 18 guests: 1.5 hours setup / 1.5 hours pack-down
o Groups over 30 guests: 2 hours setup / 2 hours pack-down
• Picnic handover occurs approximately 5 minutes prior to your booked start time. If you wish to add your own décor, food, or finishing touches, please allow additional time within your booking — early arrivals cannot be accommodated.
• Pack-down begins promptly at your booked end time. If you require extra time to clear food, rubbish, or say farewells, please extend your booking in advance.
• Before collection, ensure all tables are cleared of rubbish and food scraps, drinkware is emptied, and general litter is removed. Yellow Lemon Party Hire will manage the collection and repacking of all hire items.
• If additional rubbish removal is required, a cleaning fee of $5 per person (based on your group size) will be deducted from your bond.
• If you arrive late, your finish time remains unchanged unless otherwise agreed in advance. Late arrivals may impact other bookings. If you are more than 30 minutes late without notice, the picnic may be packed down and no refund will be provided.
• A waiting fee of $25 per 30 minutes will apply (subject to schedule availability).
• Picnics must not be left unattended at any time.
• Yellow Lemon Party Hire holds Public Liability Insurance and can provide a Certificate of Currency upon request for venue or council purposes.
• The selected site must be:
o Flat, level, and safe for setup
o Accessible for delivery, setup, and collection
• The Hirer is responsible for obtaining all council or venue approvals, permits, or permissions.
• Clear and convenient access for setup and pack-down must be provided, including suitable parking for transporting large or heavy items.
DIY Picnics
• DIY picnic hires are collection and return only.
• Picnics must not be set up in wet weather, rain, or on the beach. Please plan accordingly and have an alternate location in case of poor weather.
• Painting, drawing, or using markers (including fabric markers or paints) on picnic items is strictly prohibited. These activities may cause damage and result in bond deductions or replacement fees.
• Specific Beach and Paint Picnic sets are available for these purposes; prior written approval is required before using any items for painting or beach setups.
• The picnic must not be left unattended at any time. The Hirer is responsible for the safekeeping and care of all hire items for the duration of the booking.
9. Special Terms: Balloons, Flowers, Food & Partnered Activities
Balloon Garlands
• Balloon garlands are designed for single use only and must be handled with care.
• Large garlands require at least a small SUV for transport. It is strongly recommended to place a sheet or blanket in the vehicle to protect the balloons and to remove any sharp objects or chemicals beforehand.
• Avoid direct sunlight and do not leave balloons in vehicles for extended periods, as heat may cause them to expand or burst.
• Easels are not suitable for outdoor use and must be used indoors or in sheltered areas only.
Flower Crown Workshops
• Workshops are supplied by a third-party florist. Yellow Lemon Party Hire does not accept liability for products or services provided by external suppliers.
• A minimum of 5 participants is required. Final numbers must be confirmed 10 days prior to the event.
• DIY kits include a QR code linking to a 10-minute instructional video and printed step-by-step instructions.
• While we partner with trusted florists, any issues or concerns regarding the flowers, arrangements, or services must be addressed directly with the florist.
• Please advise of any colour preferences or specific flower requests at the time of booking. Flowers are seasonal and selected to complement your picnic theme.
• Scissors, remaining tape, and instruction sheets must be returned after use. The flower crowns are yours to keep.
• An organisation and delivery fee applies.

Grazing Boxes & Food
• Food and grazing boxes are supplied by trusted third-party catering companies. Yellow Lemon Party Hire is not responsible for food handling or safety once delivery has been completed.
• We coordinate with reputable suppliers based on event style and availability. Any concerns regarding the food, presentation, or service must be directed to the catering supplier.
• Please advise of any allergies or dietary requirements at the time of booking.
• An organisation and delivery fee applies.

Art & Paint Picnics
• Provided in partnership with Bundabubs, a third-party vendor.
• Yellow Lemon Party Hire is not liable for products or services supplied by Bundabubs. Any product or service concerns must be directed to Bundabubs.
• While we collaborate exclusively with reputable partners, final responsibility for product quality, safety, and suitability lies with Bundabubs.
Kids’ Hosted & DIY Art, Creative & Messy Play Activities
• These activities are also provided in partnership with Bundabubs, a trusted third-party supplier.
• Yellow Lemon Party Hire facilitates coordination and setup only and is not responsible for the products, materials, or safety of activities provided by Bundabubs.
• Any concerns or disputes regarding the quality or safety of these products must be directed to Bundabubs.
• An organisation and delivery fee applies.
Third-Party Suppliers – General
• Yellow Lemon Party Hire partners with a number of trusted third-party suppliers to offer a wide range of add-on experiences.
• Yellow Lemon Party Hire acts solely as a coordinator and booking facilitator and does not assume responsibility or liability for any third-party products or services.
• Any concerns, product issues, or service-related disputes must be addressed directly with the supplier.
• Ultimate responsibility for the quality, safety, and delivery of third-party goods or services rests with the individual supplier.
• An organisation and delivery fee applies.
Disclaimer:
By booking any add-on product, package, or service (including but not limited to florals, grazing, workshops, or third-party activities), the Hirer acknowledges and agrees that Yellow Lemon Party Hire’s role is limited to coordination and facilitation. The Hirer accepts that all liability, warranty, and quality responsibility rests with the relevant third-party supplier.
10. Liability & Indemnity

10.1 Yellow Lemon Party Hire is not liable for any injury, loss, or damage arising from the use of hire equipment or services.
10.2 The Hirer accepts all risk associated with the use of equipment and site conditions.
10.3 The Hirer agrees to indemnify Yellow Lemon Party Hire against any claims by third parties arising from negligence, unsafe use of equipment, or site-related hazards.
10.4 In cases of theft or damage to equipment, Yellow Lemon Party Hire may provide comparable replacements or issue a full refund at its discretion.
10.5 The Hirer acknowledges that instructions for the safe use of all equipment have been provided verbally or in writing, and that relevant safety procedures have been communicated.
10.6 Insurance
• Yellow Lemon Party Hire holds Public Liability Insurance for its operations and can provide a Certificate of Currency upon request.
• The Hirer is responsible for arranging any additional insurance they deem necessary for the event, including but not limited to coverage for venue use, hired equipment, or third-party suppliers.

10.7 Third-Party Suppliers

Yellow Lemon Party Hire’s Public Liability Insurance covers only the products, services, and operations directly provided by Yellow Lemon Party Hire.

Any third-party suppliers, including florists, caterers, activity providers, or partnered vendors, must hold their own insurance.

It is the responsibility of the Hirer to ensure they are adequately covered for any services, activities, or products provided by third parties. Yellow Lemon Party Hire cannot be held liable for any loss, damage, injury, or claims arising from third-party suppliers.
11. Food Allergies & Dietary Requirements
• Hirers must notify Yellow Lemon Party Hire of all allergies or dietary requirements at least 10 days prior to grazing or cupcake orders.
• Yellow Lemon Party Hire’s liability is limited if allergies or dietary restrictions are not disclosed by the Hirer in advance. It is the Hirers responsibility to check and reconfirm dietary requirements have been passed on to the third party supplier.
12. Photography, Media, AI Use & Copyright

All photos, videos, write-ups, and content of Yellow Lemon Party Hire setups—including images, guides, tutorials, and website content—are the sole intellectual property of Yellow Lemon Party Hire and are protected by copyright.

Clients may not reproduce, distribute, sell, or use any of this content for commercial purposes without prior written permission from Yellow Lemon Party Hire.

Photos and videos of events, whether taken by Yellow Lemon Party Hire or by clients, remain the property of Yellow Lemon Party Hire.

Photos and videos of setups may be used for marketing purposes, including social media, website and newsletters.

By sharing images of your event with Yellow Lemon Party Hire, it is understood that Yellow Lemon Party Hire may use, repost, or share these images for marketing, social media, website, or promotional purposes unless the client explicitly notifies Yellow Lemon Party Hire in writing that they do not consent to such use.

AI tools (e.g., ChatGPT) may be used to assist with content creation, quotes, or communication. Minimal personal information may be used for this purpose. Yellow Lemon Party Hire is not liable for accidental disclosure of personal data via AI.
13. Privacy & Consent
• By booking, clients consent to the use of media and AI-assisted content as described above.
• All sensitive information is handled in accordance with privacy laws; only details necessary for service delivery are collected and used.
14. Late Returns & Overtime
• Late returns of hire equipment may incur $50 per hour or full-day hire fees, depending on the duration of delay.
• Equipment not returned within 4 business days may result in full replacement costs invoiced to the Hirer.
15. Intellectual Property & Branding
• DIY guides, tutorials, and all branded setups are proprietary to Yellow Lemon Party Hire.
• Clients may not reproduce, sell, or distribute any content without prior written permission.
16. Amendments to Terms
• Yellow Lemon Party Hire may update these Terms & Conditions at any time.
• All bookings are subject to the latest version of the Terms & Conditions at the time of confirmation.

16. Booking Age Requirement

All bookings must be made by a person aged 18 years or older.

By confirming a booking, the Hirer represents and warrants that they meet this age requirement.

Yellow Lemon Party Hire cannot be held responsible for bookings made by anyone under 18.
Acknowledgement
By paying a deposit or confirming a booking, the Hirer acknowledges that they have read, understood, and agreed to these Terms & Conditions.
